How to Share an Asset Library Between Microapp Libraries

This guide explains how Library Administrators can share an asset library across multiple microapp libraries, giving editors in different libraries access to the same centralized asset collection.

Overview

Asset library sharing lets you make a single collection of assets — images, videos, brand files, or DAM-connected assets — available to editors across more than one microapp library. This is useful for organizations managing multiple libraries that all need access to the same approved assets, without duplicating files in each library.

Prerequisites

  • Library Administrator access on the library that owns the asset collection you want to share.
  • The target libraries you want to share assets with must already exist.

How to Share an Asset Library

  1. Navigate to Library Settings for the library whose assets you want to share.
  2. Locate the Asset Library or Asset Sharing section.
  3. Select the libraries you want to grant access to.
  4. Save your settings.

Editors in the selected libraries can now browse and insert assets from the shared collection in their asset picker.

What Editors See

Once an asset library is shared, editors in the receiving libraries see the shared assets as an additional collection in their asset picker. Shared assets appear alongside the library's own assets — editors do not need to change their workflow to access them.

Managing Shared Access

To remove a library's access to a shared asset collection:

  1. Return to Library Settings > Asset Library (or Asset Sharing) in the sharing library.
  2. Deselect the library you want to remove.
  3. Save your settings.

Editors in that library will no longer see the shared assets in their asset picker.

Common Questions

Can editors in the receiving library add or delete assets from the shared collection?
Shared access is read-only for editors in receiving libraries. Only administrators of the library that owns the asset collection can add, modify, or delete assets in it.

Can I share an asset library with libraries I don't administer?
You need Library Administrator access on the library that owns the assets you want to share. You do not need administrator access on the receiving libraries.

How many libraries can I share an asset collection with?
There is no documented limit on the number of libraries you can share an asset collection with. Contact Tiled Support if you're managing a large number of libraries and want to confirm any platform limits.

Will editors see shared assets automatically, or do they need to do something first?
Shared assets appear automatically in the asset picker for editors in receiving libraries once sharing is configured. No action is required from editors.

What happens to microapps that use shared assets if sharing is removed?
Microapps that already use shared assets will retain those assets — removing sharing access does not remove assets from published or draft microapps that have already inserted them. Editors in the affected library will simply no longer be able to browse or insert new assets from that collection.
