# Restricting Share Links to Verified Emails

## Let’s walk through Verified Email Sharing — a way to restrict who can open a share link to specific email addresses or domains, with an added one-time passcode step for extra assurance.

### What Verified Email Sharing Does

Verified Email Sharing lets you restrict a share link to specific email addresses or entire email domains. When you also enable verification, a viewer must enter a one-time passcode sent to their email before the microapp opens — confirming they control that inbox, not just that they typed a matching address.

| **Option** | **Who Can Open the Link** |
| --- | --- |
| **Email gating only** | Anyone who types an email address that matches the allowed list or domain. Identity is not confirmed. |
| **Email gating + verification** | Only someone who both matches the allowed list or domain and can receive and enter the one-time passcode sent to that address. |

 

| **Pro Tip:** Use domain restriction (@yourpartner.com) for a broad internal or partner rollout, and specific email restriction for a tightly controlled named list of recipients. |

### Setting the Default for New Microapps

Account Admins can set an account-wide default so every new microapp starts with the same sharing restrictions.

1. **Go to Account Settings** — and open the General tab.
2. **Find the sharing defaults section** — for new microapps.
3. **Set your restriction** — specific email addresses, one or more domains, or both.
4. **Choose whether to require verification** — toggle on if you want viewers to confirm access with a one-time passcode.
5. **Save** — all new microapps now inherit this default.

| **Heads Up:** This default only applies to microapps created after the setting is turned on. It does not change sharing behavior on microapps that already exist. |

  Overriding the Default on a Specific Microapp

The same settings are available per microapp for cases where one microapp needs different restrictions than the account default.

1. **Open the microapp’s Settings** — and go to the Sharing tab.
2. **Adjust the email or domain restriction** — for this microapp specifically.
3. **Save** — this microapp now follows its own setting instead of the account default.

| **Pro Tip:** Use domain restriction for a broad internal or partner rollout (anyone @yourpartner.com), and specific email restriction for a tightly controlled, individually named list of recipients. |

### What Happens to the Viewer

When a viewer opens a gated share link:

- They are prompted to enter their email address before the microapp opens.
- If email gating only is enabled, they enter their address and access is granted if it matches the allowed list.
- If verification is also enabled, they receive a one-time passcode at that address and must enter it to continue.
- If they abandon the flow before completing the passcode, access is not granted.

| **Try It Yourself:** Set a microapp to restrict access to your own email domain, then open the share link in a private browser window to see the verification flow exactly as a viewer would experience it. |

When a viewer enters their email address in the gating flow, Tiled uses that information to build your contact records. What gets created depends on whether the viewer completes the full flow:

### Email Gating + Verification (OTP Completed)

If a microapp is email gated and verified, and a viewer completes the OTP process, Tiled checks whether that email already exists in the contacts of the user who shared the link. If it doesn’t, a new contact is automatically created.

### Email Gating Only, or Abandoned Before Completing OTP

If a microapp is email gated without verification, or a viewer enters their email but abandons before completing the OTP, Tiled checks whether that email already exists in the contacts of the user who shared the link. If it doesn’t, a new identified viewer is created. Identified viewers appear in a separate section below your contacts — you can view them the same way you’d view a contact, email them directly, or promote them to a full contact record.

| **Pro Tip:** Using email gating + verification is the most reliable way to build a clean contact list automatically, since the OTP step confirms the email address is real and accessible before a contact record is created. |

### Common Questions

| **Question** | **Answer** |
| --- | --- |
| **Does email gating replace password protection?** | No. They serve different purposes. Email gating identifies who can access a link based on their address. Password protection restricts access to anyone who knows a shared password. You can use both together. |
| **What happens if a viewer types an email that doesn’t match the allowed list?** | They are denied access. The microapp does not open. They can try a different email address, but only one that matches your allowed list will work. |
| **Does the one-time passcode expire?** | Yes. OTPs are time-limited for security. If a viewer waits too long to enter the code, they’ll need to request a new one. |
| **Does changing the default setting affect existing microapps?** | No. The account-level default only applies to new microapps created after the setting is saved. Existing microapps keep their current sharing configuration until you update them individually in Microapp Settings \> Sharing. |
| **What’s the difference between a contact and an identified viewer?** | A contact is a full record in your contact list. An identified viewer is someone whose email Tiled captured during gating but who didn’t complete the full verification flow, or whose microapp was gated without OTP. You can view their engagement, email them, and convert them to a contact from the identified viewers section. |
| **Will email gating work on links I already shared before enabling it?** | Enabling gating on an existing microapp applies to that microapp’s links going forward. The setting note in Microapp Settings \> Sharing clarifies whether changes affect previous shares. |
