[Account Settings](https://support.tiled.co/settings#account-settings) # Account Settings: Roles ### **What are the User Roles in Tiled?** A user’s role decides what they can do in Tiled — whether they can build microapps, see engagement data, manage other users, or only view and share. Tiled ships with four default roles, and accounts can create their own. This article covers what each default role grants, how to customize roles, and how roles relate to library access. ### **Where to Find Roles** 1\. **Open** — Settings → Account Settings. 2\. **Click** — User Management. 3\. **Select** — View Roles & Permissions. Every role configured on your account is listed here. Which libraries a given user can reach is managed separately — see Roles and Library Access below. | | --- | ### **The Four Default Roles** Every Tiled account starts with four roles. Each one includes everything the role below it can do, and adds to it. | **Role** | **What it grants** | **Inherits** | | --- | --- | --- | | **Account Admin** | Create libraries, add and modify account users, and manage account-level settings. Account Admins automatically receive access to every library on the account. | Everything below | | **Library Admin** | Manage users in the libraries they are assigned to. A Library Admin may not have access to every library on the account. | Editor | | **Editor** | Edit microapps in the builder, create categories, and access microapp analytics — including exporting engagement data. | Base | | **Base** | View, share, and personalize microapps. Base users cannot see the Engagement section at all, which means they also cannot export engagement data — not even for microapps they shared themselves. If someone on your team needs reporting, they need Editor or above. | | --- | ### **Creating and Editing Custom Roles** The four roles above are defaults, not a fixed set. Account Admins can create additional roles and adjust the permissions on existing ones, so your account’s roles may not match the defaults described here. 1\. **Go to** — Account Settings → User Management → View Roles & Permissions. 2\. **Review** — the roles already configured on the account. 3\. **Create a role** — by selecting the + button in the top left. 4\. **Edit a role** — by selecting the pencil icon next to it. A user reporting that they cannot do something their role “should” allow is often on a customized role. | | --- | ### **Roles and Library Access** Account membership and library access are two separate things, and confusing them is a common source of support questions. | **Layer** | **What it controls** | | --- | --- | | **Account membership** | Whether someone can sign in to Tiled at all. Users are added to the account first, in User Management, or auto-provisioned through SSO. | | **Library access** | Which libraries they can open once they are in. Someone with an Editor role who cannot see a microapp usually has the correct role but is missing access to the library it lives in. ### **Users vs. Contacts** Roles apply to Tiled users — people on your account who sign in. They do not apply to the people you share microapps with. | | **What they are** | | --- | --- | | **Users** | People on your Tiled account. They sign in, hold a role, and are managed in User Management. | | **Contacts** | Recipients you have shared microapps with. Created automatically when someone opens a shared microapp and their email is captured. Contacts live in their own section of the Tiled Hub, along with their engagement history and Tiled Score. | | --- | ### **Assigning Roles** A role is set when you add a user, and can be changed afterward in User Management. There are three ways users arrive on an account: • **Added individually** — create the user in User Management and set their role and libraries at the same time. • **Imported via CSV** — include a role for each user in the file. • **Auto-provisioned via SSO** — users are created automatically when they sign in through your identity provider. ### **Role names in CSV imports** | **Heads Up:** The CSV importer does not accept “Account Admin.” The four values it recognizes are Base, Editor, Library Admin, and Admin — note that the highest role is written as Admin in the import file, even though the interface calls it Account Admin. | | --- | This matters because the import fails quietly. A user whose role does not match one of the accepted values is added as a Base user instead, with no error — so a file full of “Account Admin” entries produces a set of Base users who cannot see analytics. Role names are also case-sensitive, along with name and group. Silent downgrades to Base are easy to miss until someone reports missing access weeks later. | | --- | ### **Common Questions** | **Question** | **Answer** | | --- | --- | | **Can I create roles beyond the four defaults?** | Yes. Account Admins can create new roles and edit existing ones from Account Settings → User Management → View Roles & Permissions. The four roles described here are the defaults a new account starts with, not a fixed set. | | **Why can’t my Base users see any engagement data?** | Base users have no analytics access by design — that includes the Engagement section and all CSV exports, even for microapps they shared themselves. Move them to Editor or above if they need reporting. | | **My CSV import made everyone a Base user. What went wrong?** | Most likely the role column. The importer accepts Base, Editor, Library Admin, and Admin — not “Account Admin.” Any unrecognized value silently becomes Base. Values are case-sensitive. | | **A user has the right role but still can’t see a microapp. Why?** | Role and library access are separate. They likely have the correct role but are not assigned to the library the microapp lives in. Check their library assignments in User Management. | | **Do Account Admins need to be added to each library?** | No. Account Admins receive access to every library on the account automatically. Library Admins, Editors, and Base users are assigned to libraries individually. | | **Do the people I share microapps with need a role?** | No. Recipients are Contacts, not users — they have no Tiled account and no role. Contacts are created automatically when someone opens a shared microapp and their email is captured. | | **What role do SSO-provisioned users get?** | Users can be auto-provisioned through SSO, and Okta groups can be pushed to Tiled as libraries with their members as users.
