# Creating & Editing Personalized Instances 2.0

## A personalized instance is your own version of a microapp, tailored for a specific prospect, account, or campaign. Your creative team builds the microapp and decides which text, images, and videos can change. You create an instance, fill in those fields, and share it, while the rest of the microapp stays exactly as designed.

The personalization viewer and editor is designed for sales and enablement teams who need to customize microapps quickly while maintaining brand consistency. Creative teams build microapps with personalization fields, and sales teams use this viewer to create customized **instances** (i.e. versions) for specific prospects or campaigns.

### **Before You Start**

• **Personalization is on** — an Editor or Library Admin turns it on in the microapp’s Settings. Microapps start with it off.

• **Fields are set up** — your creative team chooses which tiles you can change and which ones are required.

• **Brand stays protected** — you can change only the personalized fields. Layout, pages, and everything else stay locked.

### **1. Getting Started | Access Personalization & Create an Instance**

1\. **Open your library** — and select a microapp that has personalization.

2\. **Select Create New Instance.** — The name field is ready for typing.

3\. **Name the instance** — after the prospect or campaign, such as “Northwind – Q3 Renewal.”

4\. **Press Enter or select Save & Continue.** — The personalization viewer opens with your new instance.

**Finding Your Way Around**

| **Control** | **What It Does** |
| --- | --- |
| **Back to Library** | Returns to your microapp library. |
| **Microapp name** | Shows the microapp you’re working on. Select it, then Open a different microapp, to switch without leaving the viewer. |
| **Create New Instance** | Starts another personalized version. |
| **Fullscreen** | Expands the viewer to the full browser window. |
| **Adaptive sizes** | Switches between the microapp’s formats, such as desktop and mobile. |
| **Share** | Shares the instance once every required field is filled in. |

### **Working with instances**

• **Default view** — the microapp as your creative team built it, with placeholder content. Your instances never change it.

• **Your instances** — each one is a separate version with its own field values.

• **Finding an instance** — the instance list groups instances by category, lets you search, and switches between All Instances and My Instances.

### **Duplicating an instance**

Starting from an instance that already works saves time on similar prospects.

1\. **Open the instance dropdown** — in the top-left corner of the viewer and hover over the instance.

2\. **Select Duplicate instance.** — A copy is created with “(copy)” added to its name.

3\. **Rename the copy.** — It appears at the bottom of the instance list.

| **Note:** You can duplicate an instance only within the same microapp. The copy uses the same personalized images and videos as the original until you replace them. |

### **3. Personalization Features**

**Working with the All Fields Panel**

Your personalization control center operates with several key features:

- **Expanded by default** to show every customizable element at once
- **Reduced sizing** to maximize canvas space while keeping all tools accessible
- **Hover highlighting** that connects field names to their canvas locations
- **Progress indicators** that track completion with visual checkmarks and dynamic counters
- **Real-time updates** that reflect your changes immediately as you work
- **Red bounding boxes** now appear around required fields on the canvas for easier identification

**Field Types and How to Use Them**

The All Fields panel is open when the viewer starts. It lists every field you can change and keeps track of your progress:

• **Hover to locate** — hovering over a field name highlights where it appears on the page.

• **Live updates** — changes appear on the page as you make them.

• **Progress tracking** — checkmarks and counters show what’s done.

• **Required fields** — outlined in red on the page so they’re easy to spot.

| **Field Type** | **How to Fill It In** |
| --- | --- |
| **Text** | Type in the field. The text keeps the font and styling your creative team set. |
| **Image** | Upload a file, choose one from your organization’s approved assets, or paste an image URL. Then choose Fit or Fill. |
| **Video** | Upload a file, choose an approved asset, or paste a URL. Then choose Fit or Fill. Thumbnails help you pick the right video. |

| **Pro Tip:** Some fields appear on several pages, like a customer logo. Fill it in once and it updates everywhere it’s used. |

**All Fields vs. Required Fields View**

**All Fields View** gives you comprehensive control over every personalizable element in the microapp, organized page by page. Use this approach when you want maximum personalization impact and have time for detailed customization.

**Required Fields View** streamlines the process by showing only the fields your creative team marked as mandatory. Progress tracking with completion counts keeps you on track, and the streamlined workflow eliminates distractions. Required fields now display with improved visual indicators including red bounding boxes for easier identification.

**Default vs. Page View Organization**

**Default Personalization Viewer** organizes fields by type rather than location, giving you comprehensive access in a single interface. This approach works best for multi-page personalizations where you're customizing content throughout the entire microapp.

**Page View** organizes work by microapp structure, showing only page thumbnails that contain personalization fields. Targeted customization allows you to focus on specific sections, making this approach efficient for section-specific personalizations.

For a bigger canvas, hide the personalization panel and edit directly on the page, much like presentation software. A panel on the left lists only the pages with personalized fields. Hover over the page to see field names, and hover over an image or video to see a Replace option.

**Letting AI Assist fill it in**

If your creative team has set up AI questions, you can answer a short interview instead of filling in each field yourself. Single-choice answers move you forward automatically, Back returns to the previous question with your answer intact, and answering the last question starts the fill. Review every field before you share.

### **5. Quality Control & Sharing**

You can’t share an instance until every required field is filled in. If you select Share too early, a window lists the missing fields, and you can fill them in right there and share without hunting for them.

1\. **Fill in the required fields.** — Use the Required Fields view to see only what’s left.

2\. **Preview the instance** — in each adaptive size, and check that images and videos are framed well.

3\. **Select Share** — and share the instance the same way you share any microapp.

| **Heads Up:** Recipients see exactly what’s in the instance when they open it. Check names, logos, and links carefully. Fixing a typo after you’ve shared still means the first viewers saw it. |

After you share, engagement is tracked by instance. The instance name appears with the microapp name in My Activity, Overall Activity, and Pathway Analytics, and CSV exports include Instance Name and Instance ID columns. You can also export an instance as a PDF.

### **6. Best Practices | Workflow, Brand Standards & Speed Optimization**

| **Stay on-brand** | Choose images and videos from your approved assets instead of uploading new ones, and follow any length or format guidance in field names. |

| **Avoid surprises** | Preview each adaptive size before sharing. |

### **7. Create personalized microapps from the Tiled API**

Teams that create many instances, for example from a CRM, can create personalized microapps through the Tiled API. The API is available on Organization and Enterprise plans. See the Tiled API documentation for details.

| **Try It Yourself:** Create an instance named Test, fill in only the required fields using the Required Fields view, then try to share before you finish one of them. You’ll see the missing-fields window and how quickly it gets you to shareable. |

### **Common Questions**

| **Question** | **Answer** |
| --- | --- |
| **Why can’t I share my instance?** | At least one required field is empty. Select Share to see which, fill them in from that window, and share. |
| **Can I change the layout or add pages?** | No. You can change only personalized fields. Ask your creative team for anything else. |
| **Will my changes affect the original microapp?** | No. Instances never change the default view or anyone else’s instances. |
| **How do I find an instance I made earlier?** | Open the instance list, select My Instances, and search by name. |
| **Can I copy an instance to a different microapp?** | No. You can duplicate an instance only within the same microapp. |
| **Why don’t I see Create New Instance?** | The microapp doesn’t have personalization turned on. Ask an Editor or Library Admin. |
| **Can I personalize on the desktop app?** | Yes. Tiled for Desktop lets you choose, create, and personalize instances. |
