Bulk Email Delay for User Imports

Protecting email deliverability during large-scale user onboarding

1. Purpose & Scope

This article documents the Bulk Email Delay configuration option, released in Tiled v60.0.0. This control allows administrators to configure a time delay between invitation emails sent during bulk user import operations, protecting the organization's email deliverability reputation.

Scope: Library Administrators performing bulk user imports of hundreds or thousands of users. Relevant for organizations onboarding large user cohorts or migrating from other platforms.

2. Control Objective

The control objective is to prevent email service rate-limiting, spam classification, and deliverability degradation caused by high-volume, simultaneous email dispatch during bulk user onboarding. This control supports the integrity of the user provisioning process by ensuring invitation emails reliably reach intended recipients.

3. Feature Description

When importing users in bulk, Tiled now allows administrators to configure a delay (in seconds or minutes) between individual invitation emails. This delay is applied at the email dispatch layer, distributing the sending load over time rather than delivering all emails simultaneously.

Note: Email deliverability reputation is an organizational asset. Sending large volumes of email simultaneously can trigger spam filters, rate limits, or blocklist events at receiving mail servers. This control is particularly important for organizations using shared sending domains.

4. Configuration Procedures

  1.     Navigate to Library Settings > User Management > Import Users.
  2.     Prepare your user import file (CSV format) per the import template requirements.
  3.     In the import configuration screen, locate the Bulk Email Delay option.
  4.     Set the desired delay interval (e.g., 5 seconds between emails).
  5.     Initiate the import. Invitation emails will be dispatched at the configured interval.

5. Recommended Delay Settings

< 100 users

No delay required. Standard bulk delivery is appropriate.

100 – 500 users

Recommended: 2–5 second delay between emails.

500 – 2,000 users

Recommended: 5–10 second delay. Consider staggering imports in batches.

> 2,000 users

Contact Tiled Support to coordinate a scheduled import with monitored dispatch.

6. Audit Evidence & Logging

  •   Bulk import events are logged with the initiating administrator, timestamp, number of users imported, and delay configuration applied.
  •   Import completion status is logged, including any failed delivery events.
  •   For SOC 2 CC8.1 (Change Management), bulk user provisioning events are treated as access provisioning changes and should be captured in the organization's change log.
